Client Intake Specialist (Immigration Law)
Key Responsibilities
- Manage the end-to-end client intake process, from first contact through client retention.
- Serve as the primary point of contact for prospective clients, responding to inquiries and gathering essential information.
- Screen potential clients and communicate the firm’s value clearly and confidently, guiding suitable candidates toward signing a retainer.
- Prepare client files for lawyer review, including drafting retainer agreements and organizing documentation.
- Maintain and manage client records in Clio Grow and support workflow automation to improve efficiency.
- Analyze intake reports and referral sources to help improve client acquisition and intake processes.
- Provide administrative support to the legal team, including calendar management, communications via Zoom/Teams, and handling correspondence from government agencies.
Qualifications
- Minimum 5 consecutive years of experience as a Client Intake Specialist with a law firm, preferably in immigration law.
- Excellent communication and interpersonal skills, with the ability to build trust and influence prospective clients.
- Strong client-service orientation and commitment to providing exceptional client experience.
- Demonstrated ability to analyze intake data and improve processes.
- Proficiency with Clio Grow, CRM systems, Adobe, MS Word, Zoom/Teams, and other legal technology tools.
- Experience supporting marketing initiatives and referral relationships is an asset.
- Bilingual or multilingual abilities are considered a strong asset.
- Highly organized with strong attention to detail and the ability to manage multiple priorities in a fast-paced environment.
