Senior Legal Assistant
Willms & Shier Environmental Lawyers LLP is Canada’s leading Environmental, Indigenous and Energy law firm. We are located in downtown Toronto. We are looking for a Senior Legal Assistant with 4+ years experience who possesses strong technical skills and knowledge to manage the production demands of the law firm’s practice accurately and efficiently. The role requires someone with a strong work ethic, who is collaborative, professional, adaptable, positive, interested in their work and has good working knowledge of the Rules of Civil Procedure.
Responsibilities include:
- Draft, edit, format, and revise correspondence, letters, memoranda, and other documents according to general instructions and/or precedents
- Ensure all correspondence, reports and other documentation is properly filed and organized electronically in NetDocs (digital by default) and, where necessary, the physical file
- Maintain bring forwards for and proactively support the law firm’s team of Lawyers
- Receive, handle, screen and/or direct incoming calls, and respond to and record client inquiries and requests as required
- Coordinate and schedule meetings, appointments, and conference calls, both internally and externally
- Perform administrative duties such as expense claims, cheque requisitions, opening and closing files, docketing, billing, scanning, photocopying materials, booking meeting rooms, booking court reporter and transcription services, setting up webinars, making travel arrangements, restaurant reservations, and other administrative duties as required
- Update and maintain client/matter lists
- LSO Conference/Cont. Ed. Tracking. Ensure lawyers are registered for desired events, conferences and webinars to fulfil LSO CPD requirements
- Revise and complete materials required for speeches and other conference attendances
- Provide support to other Legal Assistants who may be absent or managing multiple tasks and/or deadlines
- Assists other department team members with administrative work as required
- Other duties as required and consistent with the position scope
