Office Manager
Ricketts Harris LLP, a full-service boutique law firm located in the financial district, is looking for an Office Manager. We offer a friendly, thoughtful work environment and competitive salary and benefits.
Daily duties include, but are not limited to:
- general day-to-day accounting and administrative tasks including setting up and balancing priorities, allocating resources, and facilitating communication of information within the Firm;
- identifying and communicating policy and procedure priorities;
- maintaining banking relationships and liaising with vendors;
- assisting Management in hiring/exit interviews, staff training when required;
- ensuring firm compliance with applicable federal, provincial and local laws;
- performing accounting functions such as reconciling bank accounts, journal entries, accounts payables, yearend preparations, reconciliations, and remitting HST for all entities;
- supervising accounting clerks with daily accounting tasks including client trust accounts when required;
- office facilities’ functions including managing equipment and reviewing, assisting with negotiating, and monitoring service contracts and major equipment purchases/leases;
- developing and administering central files and off-site records management;
- performing property management activities;
- managing all telecommunication systems and operations as well as day-to-day operations of help desk in conjunction with IT Specialist;
- day-to-day client services and marketing providing guidelines for and monitor the employees’ role in assuring client service delivery;
- assisting partner in charge of marketing in managing client and prospect database.
- Position will report to COO
Qualifications:
- A minimum of two years of legal accounting experience; Acumin (accounting software) experience preferred
- Business Administration Degree (or similar) preferred;
- Strong organizational and communication skills;
- Ability to prioritize, multi-task and meet deadlines without supervision;
- A team player who can also work independently;
- Interest in growth, taking on more and future responsibilities; and
- Professional law firm experience an asset
