The Opportunity
As a Professional Resources Specialist, you will support the firm’s recruitment and onboarding of lawyers and law students, working closely with the Firm’s Director, Professional Resources and Manager, Student Programs on all aspects of the Firm’s professional development programs, processes and strategic initiatives relating to lawyers and law students.
The ideal candidate will be a motivated self-starter who is adaptive, proactive, creative and enjoys working collaboratively as part of a team.
Responsibilities
Students
- Work closely with the Manager, Student Programs to provide administrative support for the end-to-end student recruitment process.
- Support end-to-end logistics for the Firm’s annual moot, including liaising with internal and external stakeholders and event planning.
- Support the Manager’s work with law schools and other stakeholders regarding recruitment, sponsorship, advertising and/or awards.
- Organize and support processes for student onboarding and orientation.
- Handle the administrative aspects of the LSO licensing process, ensuring timely registration and fee payment by the firm’s articling students, and coordinating reimbursements.
- Provide administrative and coordination support for the student programs.
Associates
- Coordinate all administrative aspects of the lateral recruitment process.
- Organize and support processes for lawyer onboarding and orientation.
- Under the direction of the Director, support the administration and operational execution of programs and processes throughout the associate life cycle.
- Coordinate social events and other engagement initiatives for lawyers.
- Provide administrative support regarding the technical aspects of student, associate, law clerk and Counsel performance evaluation processes using the firm’s viEval software.
- Support budget processes and tracking, manage invoices, reimbursements and expenses and maintain accurate records for the Professional Resources team and its functions.
- Provide administrative support for reports, presentations, meeting minutes, and internal/external communications.
- Compile, analyze, and summarize data to support the Director’s reporting and decision-making.
- Manage Professional Resources team calendars and coordinate internal/external meetings for the team.
- Assist the Director in managing Canadian Bar Association registration and fee payment for lawyers.
- Maintain accurate electronic records for the Professional Resources team, including the maintenance of confidential personnel files.
- Participate in ad hoc projects related to process improvement, operational efficiencies, and strategic initiatives to enhance the Professional Resources function.
- Respond to process-related inquiries from lawyers, students and other departments in relation to the student and associate programs.
- Work collaboratively with other firm departments (e.g. HR, IT, BD & Marketing, KM, Facilities, Office Services).
- Maintain and update job skills and knowledge by participating in development opportunities within the firm.
- Other duties as assigned.
Minimum Requirements
- Minimum of 3 years of work experience in a legal talent or human resources role within a professional services environment, preferably a law firm.
- Strong interpersonal and verbal / written communication skills.
- Client service orientation and excellent critical thinking and problem-solving abilities.
- High degree of proficiency with the Microsoft Office suite. Proven ability to embrace and master upgraded, enhanced, and/or new technologies. Proficiency with vi by Aderant products (specifically viEval and viLawPortal) would be a strong asset.
- Project management and organizational skills. Evidenced success in managing competing deadlines and priorities while meeting deadlines and ensuring firm standards are upheld.
- Strong attention to detail with experience proofreading and organizing documentation.
- Demonstrated ability to work independently and recognize when to consult colleagues and/or support resources when appropriate.
- Flexibility to work overtime based on needs of the firm.
Compensation
The expected compensation range for this position is $66,500 – 75,000 per year, commensurate with experience.
