Intake Coordinator
Walker Law is a diverse, dynamic, and award-winning commercial litigation law firm located in the heart of Toronto’s financial district. We are committed to delivering practical and cost-effective legal solutions across a range of litigation matters, including employment, contract, and real property disputes.
We are seeking a professional, personable, and highly organized Intake Coordinator to serve as the first point of contact for prospective clients. The ideal candidate will have 5+ years of law firm or legal intake experience, along with excellent communication, organizational, and follow-up skills.
Key Responsibilities

Serve as the primary point of contact for prospective clients by telephone and email.

Promptly contact prospective clients and conduct preliminary intake.

Gather accurate information regarding the legal matter and all relevant parties.

Complete and coordinate conflict checks.

Identify the appropriate practice area and lawyer for each inquiry.

Explain consultation fees, required documents, and next steps.

Schedule and confirm telephone, video, and in-person consultations.

Conduct follow-ups to reduce missed appointments and assist with rescheduling.

Follow up after consultations and assist with the retainer and client onboarding process.

Maintain accurate records of inquiries, follow-ups, appointments, and prospective client status.

Respond to administrative questions and appropriately escalate urgent or sensitive matters.

Coordinate with lawyers and staff to ensure a smooth transition from initial inquiry through consultation and file opening.

Maintain strict confidentiality and comply with Firm policies and procedures.
This is a fully in-office position, five days per week.
Qualifications

5+ years of law firm or legal intake experience preferred.

Excellent telephone, written, and interpersonal communication skills.

Professional, warm, and confident manner when interacting with prospective clients.

Strong organizational skills and attention to detail.

Ability to manage multiple inquiries, follow-ups, and competing priorities.

Strong computer and software skills.

Ability to handle confidential and sensitive information with discretion.

Sound professional judgment and a strong client-service mindset.

Salary of $50,000–$60,000, commensurate with experience.
