Client Relations & Marketing Assistant
Blake, Cassels & Graydon LLP (Blakes), one of Canada’s largest and most successful law firms, has an opening for a Client Relations & Marketing Assistant to join our Toronto office. The Client Relations and Marketing Assistant plays a pivotal role in supporting the Client Relations & Marketing Leadership Team by providing high-level administrative and operational support.
The successful candidate will demonstrate strong judgment, exceptional communication skills, and the ability to manage multiple priorities with accuracy and discretion.
Key Responsibilities include but are not limited to:
- Draft, format, and distribute internal and external correspondence and communications
- Support onboarding and training coordination for new hires and team members
- Maintain and update contacts in the Firm’s contact management system (InterAction).
- Support marketing and business development initiatives through data management and coordination
- Coordinate and schedule virtual and in-person meetings
- Prepare agendas, compile materials, and record/distribute meeting minutes, as required
- Manage meeting and event logistics, including boardroom bookings, catering, and event coordination
- Prepare and submit expense reports and reconcile departmental expenses and invoices while maintaining accurate records
- Assist with document preparation, editing, and proofreading (Word/Excel/PowerPoint), ensuring compliance with Firm brand and style guidelines
- Conduct research and compile data to support reports and summaries
- Provide additional administrative support and assist with internal initiatives and special projects as needed
Qualifications
Education/Experience:
- A bachelor’s degree is required for this role.
- Minimum of 1 year of experience as an administrative or marketing assistant.
- Experience in a professional services firm supporting senior executives is considered an asset.
Skills/Abilities:
- Exceptional organizational and time management skills with the ability to prioritize and multitask in a fast-paced environment.
- Strong written and verbal communication skills with a proactive, professional approach.
- Client-service oriented with the ability to build trusted relationships with senior leadership.
- Advanced proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
- Flexibility to work beyond normal business hours when required to meet deadlines.
Compensation
The anticipated annual salary for the Client Relations & Marketing Assistant position is $60,000 - $70,000. Salary levels will be determined commensurate with internal equity, market equity and experience.
