HR and Payroll Coordinator

Reporting to the HR Manager, the HR & Payroll Coordinator will provide support to the HR team, Chief Operating Officer, Partners, Management, and employees in regards to day-to-day HR activities at the Firm including payroll and benefits administration, HRIS administration, recruitment and selection, onboarding and training, and all other administrative activities as required from time to time.
Key Responsibilities:
HRIS, Payroll and Benefits Administration (20%)
- Daily maintenance of information and related requirements for ADP Workforce Now (ADP WFN) including, but not limited to, New Hire documentation, time off policies, payroll, benefits, termination, etc.
- File HR documents and ensure employee personnel files are kept up-to-date (both manual files and in ADP WFN).
- Ensure Firm compliance-related training records are updated and tracked in accordance with all federal and provincial legislation including health and safety regulations and reporting.
- Ensure vacation, personal time off & attendance records for all employees are up-to-date and recorded in a timely basis in ADP WFN.
- Biweekly processing of payroll for all salaried and hourly employees.
- Participate in the preparation of T-4 remittances and other year-end activities.
- Coordinate the administration of the group benefits program to all eligible employees of the Firm including updating the system, verification of invoices and reconciliation; Develop and schedule benefits orientations and other benefits training for employees with external providers.
- Answer employee queries regarding benefits enrollment or any claim issues.
- Ensure that New Hire and termination data is processed on a timely and accurate basis.
Recruitment and Selection (50%)
- Post and monitor all job postings on various sites ensuring top positioning.
- Screen resumes, conduct pre-screening telephone interviews, and schedule face-to-face interviews.
- Conduct recruitment research on best practices in the marketplace and ensure the use of cost effective external resources.
- Conduct reference checks and background checks for all final candidates.
Training and Development (20%)
- Coordinate orientations, training activities and schedules of all new and returning employees as part of the New Hire Onboarding program.
- Take a lead role in ensuring new hires are set up in their workspace and equipped with access pass, computer, phone extension, and other materials upon hire.
- Work in conjunction with HR Supervisor and external partners to put together the annual Training Calendar and schedule applicable training modules.
- Handle all administration related to training including: coordinating enrollment, tracking attendance and consolidating follow-up on evaluations.
General Human Resources Administration (10%)
- Answer employee’s queries about HR –related issues.
- Provide support and assistance in the termination and resignation process.
- Assist with preparation of company updates, news or any upcoming events announcements.
- Assist with preparation of various HR reports and spreadsheets through ADP WFN and Excel
- Assist with employee recognition programs and special events (Summer and Winter events).
- Support the Firm’s retention strategies and planning.
- Assist the HR Supervisor with various HR projects.
- Performs other duties as needed.

Skills and Qualifications:
- University Degree, College Diploma or Professional Certificate in Human Resources Management
- 1-2 years’ experience in an Administrative or Human Resources role
- Knowledge of HR trends and best practices
- Experience in HR related Information Management Systems (HRIS) is an asset
- Previous exposure to workplace legislation (e.g., Employment Standards, Health and Safety, etc.) is an asset
- Excellent organizational skills and attention to detail
- Strong proficiency in Microsoft Office (ie. Word, Excel, Outlook, PowerPoint), with a strong emphasize on Excel
- Strong written and verbal communication skills
- Excellent interpersonal skills
- Process-driven individual
Green and Spiegel reports salary ranges in accordance with applicable provincial pay transparency legislation. Individual salaries within the anticipated salary ranges noted below are determined through a wide variety of factors including but not limited to internal equity, education, relevant experience, knowledge, and applicable skill sets.
- $55,000 – $75,000 per year
