Legal Executive Assistant, Litigation
About the Firm
Our client is a respected and well-established mid-sized law firm with an outstanding reputation within the legal community. They are currently seeking a Litigation Legal Executive Assistant to support a busy and dynamic practice. This role requires only 1 day per week in office.
Key Duties & Responsibilities
Assist a busy litigation practice by coordinating and tracking multiple deadlines to ensure all matters are completed accurately and on time.
Open and maintain client files; manage calendars and bring-forward systems; schedule discoveries, mediations, court attendances, and related litigation events.
Review, proofread, and edit all documentation with exceptional attention to detail and accuracy.
Prepare, revise, and format legal documents and correspondence to a high professional standard.
Draft and issue standard form correspondence to clients and external parties.
Update and modify precedent documents and templates, including working with document macros within Microsoft Office.
Prepare accounts and pre-bills and provide general support with billing and accounting-related tasks.
Manage electronic court filings and coordinate service of documents through external process servers as required.
Arrange travel logistics, coordinate meetings, and schedule conference calls.
Compile, serve, and file affidavits, motion records, appeal records, and other court materials in strict compliance with the Rules of Civil Procedure, prescribed court forms, and departmental guidelines.
Provide additional administrative and litigation support as required.
Qualifications
Minimum 5 years’ experience as a Commercial Litigation Legal Assistant within a law firm environment.
Strong working knowledge of the Ontario Rules of Civil Procedure.
Exceptional organizational, communication, and interpersonal skills.
Demonstrated ability to manage competing priorities and tight deadlines in a fast-paced practice.
Advanced proficiency in Microsoft Office, including strong working knowledge of Excel.
Experience editing document templates and working with macros.
Ability to work independently while contributing positively to a collaborative team environment.
Experience in construction litigation is considered a strong asset.
High level of professionalism, discretion, and attention to detail.
Compensation & Benefits
Competitive salary range of $75,000–$80,000, commensurate with experience.
