The Firm is seeking a detail-oriented and proactive Legal Assistant with high-level organizational skills to join our team. This role provides essential administrative and legal support to our Partners, Director of Operations, and Associates, while also ensuring the smooth operation of our fast-paced office environment.
Key Responsibilities:
Legal Support
- Manage incoming/outgoing mail and courier deliveries.
- Manage incoming calls.
- Effectively draft, format, and proofread legal documents and correspondence.
- Maintain physical and electronic client files with confidentiality and professional standards.
- Strong Communication skills – clear and professional communication with clients and external parties.
- Support billing, time entry, and expense tracking.
- Time management skills – managing schedule deadlines to ensure compliance with court, filing, meetings, and hearing dates.
- Provide general administrative support including scanning and photocopying.
- Coordinate travel arrangements and organize process servers.
- Excellent interpersonal skills – ability to work effectively within a team, alongside lawyers and other legal and non-legal support staff.
- Open new matters in Clio Software.
Office & Kitchen Maintenance
- Maintain kitchen cleanliness (dishwasher, coffee machine, supplies).
- Monitor and restock kitchen and cleaning inventory.
- Keep shared spaces tidy and professional.
- Liaise with vendors and delivery services as needed.
Qualifications & Experience
- Legal Assistant diploma required, or an undergraduate degree preferred.
- Minimum two years’ experience in a legal or administrative role.
- Strong organizational, communication, and multitasking skills.
- Proficiency in Microsoft Office and document management systems.
- Ability to work independently and collaboratively with initiative.
