Legal Assistant (Labour & Employment)
Summary of Position
This is a full-time position working as a legal assistant providing legal and administrative support to lawyers in our Toronto Ontario office. Filion employees benefit from a hybrid work environment.
Responsibilities
Responsibilities include but are not limited to:
- Assisting lawyers in the preparation and coordination of hearings and trials; recording and monitoring court appearance dates, pleadings and filing requirements
- Preparing correspondence and legal documents for review, including court documents and documents for administrative tribunals such as the Ontario Labour Relations Board and the Human Rights Tribunal of Ontario
- Ensuring timely service and filings in accordance with the Rules of Civil Procedure and procedural rules of administrative tribunals
- Assisting with the preparation and finalization of time entry on a daily basis according to firm standards in preparation for the Billing team
- Proofreading documents and checking for appropriate formatting, spelling, grammar and clarity
- Meeting timelines/deadlines, scheduling meetings, maintaining professionals’ calendars, and maintaining tickler/reminder systems
- Managing files including: opening new files, maintaining large and complex files, developing, maintaining and utilizing an orderly filing and retrieval system to ensure ease of reference to historical paper or electronic records, organizing law and precedent files
- Coordinating client meetings, including scheduling rooms and arranging for needed audio-visual equipment
- Other administrative duties as required, including working with and assisting other legal assistants
Qualifications
- A certificate or diploma from a legal administrative assistant program would be a strong asset
- Ability to provide excellent and timely service to clients and colleagues by understanding their needs and using available resources
- Ability to work effectively with others by being flexible, respectful, communicating clearly, and proactively sharing knowledge and offering assistance
- Demonstrates relevant expertise, critical thinking skills and initiative to consistently deliver quality work
- Ability to take initiative and work independently
- Highly proficient with Adobe Acrobat, Windows and Microsoft Office (Outlook, Word, Excel) is essential
- Knowledge of the Rules of Civil Procedure
- Flexibility with respect to working occasional overtime on an as-needed basis
- Knowledge of iManage and Acumin is an asset
