The Firm: SimpsonWigle LAW LLP is a full-service law firm with offices in Hamilton and Burlington. The firm is looking to grow strategically and to strengthen the efficient operation of the practice.
Position Overview: The firm has identified an exciting new opportunity that will be of interest to a senior management leader with a track record of leading change and bringing out the best in people. We are seeking a highly organized, detail-oriented, and proactive person to join our dynamic team. Reporting to the Managing Partner and Assistant Managing Partner, this individual will play a key role in overseeing the seamless execution of various accounting, finance, administrative, operational, and lawyer-focused tasks across multiple departments ensuring alignment with overall firm goals, including strategic growth. The successful candidate will be a multi-tasking expert, with an accounting/finance background and strong business acumen, ensuring that the firm runs smoothly and efficiently. The Executive Director will lead and manage a team of direct reports, including the IT Manager, HR Manager, Office Administrator and Accounting Manager. This is an exciting opportunity for someone looking to have a direct impact on the firm’s day-to-day operations.
Key Responsibilities: The various department heads will oversee the day-to-day operations of their respective areas reporting to the Executive Director. Some of the important items include:
1. Leading, mentoring and managing a team of direct reports, providing support, guidance and feedback to ensure high performance and personal development. Visible, accessible, and available to both offices.
2. Collaborate with the IT Manager to ensure seamless technology operations, system security, and infrastructure enhancements.
3. Partner with the HR Manager to drive talent management, employee relations, and compliance with HR policies and procedures.
4. Work closely with the Accounting Manager to ensure timely and accurate financial reporting, budgeting, and accounting operations.
5. Oversee the annual budget preparation, ensuring accuracy and alignment with firm goals.
6. Sign off on payables cheques and ensure timely payment to creditors.
7. Review the monthly and annual financial reports, ensuring partners are kept informed of firm financial performance.
8. Where necessary, prepare projected financial reports for the partners consideration.
9.Regularly measures, evaluates and acts to ensure the completion of projects and satisfaction level of professionals and staff with respect to the firm priorities and business objectives.
10. Develops and implements communications strategies to build teamwork and support the firm’s vision and core values.
11. Adds value by constantly improving process, effectiveness and cost efficiencies and reduces the administrative burden on the firm’s professionals.
12. Accountable for efficient and effective operation of the offices.
Other:
a. Along with the Managing Partner and Assistant Managing Partner coordinate and schedule meetings with partners, manage meeting agendas and ensure relevant documents are uploaded to the partners' portal.
b. Assisting lawyers with their practice, by way of analyzing billing practices, holding quarterly meetings with individual timekeepers and supporting best practice methods specific to each practice group.
